Trade Compliance Administrator

Job Introduction

Role purpose To support the Trade Compliance Manager to ensure effective and efficient management of importation and exportation of goods to and from the facility, ensuring all activities are conducted in accordance with all applicable laws and regulations.

Role Responsibility

Duties & responsibilities • Daily co-ordination of export and import customs clearance (Export/Import Entry Instruction) • Preparation of official export documentation (EAD or Export Instruction) in line with legal, statutory, and local regulations in time for agreed despatch date, either through Third Party or via software Descartes, or similar, system. • Ensure system data related to compliance is up to date and ready in advance of export/import transactions: HTS, County of Origin, etc. • Day to day liaison with warehouse operations, other internal departments, freight forwarders, hauliers, and other third-party logistics providers, ensuring movement of goods through customs. • Ensure that all shipping document is accurately stored and that any missing documentation is collected in a timely manner • Store Compliance owned documentation in DMS. Track and report metrics on document retention to Compliance Supervisor, identifying trends/issues and suggesting solutions if appropriate • Review and report MSS Import and Export reports for inaccuracies and alignment with stored/retained documentation. Escalate issues to Compliance Supervisor and assist in requesting and tracking corrections. • Help track and collect data for performance reporting for Trade Compliance Manager of external and internal providers (Freight providers, Customs Brokers) related to customs activities • Assist in response to Audits by HMRC • Raise issues of non-compliance to Compliance Manager.

The Ideal Candidate

Qualifications & experience • Educated to GCSE level or equivalent Page 2 of 3 • Previous experience in import and export preferred, although training will be provided • Understanding of import and export regulations required • Experienced in compliance requirements for goods’ movement • Strong IT skills with particular emphasis on MS office packages • Working knowledge of FourthShift or other MRP systems Skills • Excellent accuracy and attention to detail • Exceptional communication skills both written and verbal with strong customer service • Ability to work under pressure, remaining calm and focused when working to deadlines • Solution driven with confidence to raise concerns or issues that could affect the business • Effective interpersonal skills, with the ability to communicate effectively at all levels • Excellent numerical skills • Attention to detail and accuracy is essential • Excellent organisational skills
