Warranty Administrator/Specialist (Key Accounts)

Job Introduction

The Key Account System Administrator provides sales and operational support functions to help assure excellence in the account's key supplier performance categories. The key accounts are John Deer and Caterpillar. This position owns the relationship with their web portal management team and serves as a resident expert of their supplier interface processes, notifications and expectations. Replies to relevant customer, staff or system queries, and subsequent follow-up communication regarding quality, warranty and compliance topics are the responsibility of the Key Account System Administrator.

Role Responsibility

The list of duties and responsibilities is not all inclusive and may be expanded 

  • Support alignment of HydraForce’s operation with Deere’s and Caterpillar's expectations in pursuit of top vendor performance ratings
  • Understand and coordinate all necessary portal inputs and feedback (Achieving Excellence, compliance, etc.)
  • Maintain data and arrange internal support for quality related topics at Deere and Caterpillar. Warranty administration for field and plant claims, corrective actions, documentation requirements, change notifications, etc.
  • Utilize internal and external platforms to obtain data and provide reports and analysis for both situational (quality problem, SCR, etc.) and regularly defined (Weekly, Monthly and Quarterly) needs
  •  Lead meetings and present content on regularly scheduled basis and as needed to address issues or opportunities in global quality, CROP, and Local quality
  •  Assure global alignment within HydraForce on Key Accounts and requirements, provide updates to relevant stakeholders (sales, quality, engineering, CS, IT)
  • Represent HydraForce feedback and needs to Deere and Caterpillar and drive improvement in their approach (RECON, claims, debits)
  • Provide oversight and gatekeeper function of company inputs to, and outputs from, Deere’s supplier management web portal
    • Maintain internal user access and individualized permissions within the OEM portal
    • Training on portal functions (entries and reporting according to role)
    • Monitor HF content, compliance and responsiveness
  • Execution of related tasks including:
    • Field warranty claim processing
    • Global quality and warranty reporting and data validation  
    • Present HydraForce case for removal of quality impacts
    • Warranty and quality trend analysis
    • Publish the performance metrics to stakeholders within HydraForce

The Ideal Candidate


  • University degree and/or minimum 5 years operations or customer-facing experience within a manufacturing company
  • Fundamental knowledge of quality system operations, including returns processing
  • Experience in maintaining systems and data
  •  Knowledge of hydraulic circuits, cartridge valves, and mobile equipment (agricultural / construction) are preferred but not mandatory
  •  Proficiency in MS Office suite tools, with emphasis on Excel and use of Power Point to present data both numerically and graphically


  •  Diplomatic and poised approach to customer quality claims and communication
  •  Ability to present information with credibility and impact even when contrary
  •  Able to work independently and use personal judgement to achieve final results
  • Ability to quickly build and maintain effective relationships with customers and colleagues
  • Energetic disposition carrying a positive impression to Deere and Caterpillar, even when addressing problems
  • A team player who engenders trust and confidence in others
  • Flexible approach to methods and solutions. Able to accept supporting and contrary feedback to integrate differing, valuable viewpoints into personal actions

Travel: Ability to travel periodically both domestically (up to 10%) and (rarely) internationally.
